How to: Export data as a Microsoft Excel spreadsheet file.
Solution:
Use the 'Save As/Export...' command in the 'File' menu, select the desired Microsoft Excel format, specify a name and location for the new Excel file, and click 'Export'.
NOTE 1: Database objects such as tables, queries, forms, and reports can be exported or saved as Microsoft Excel files. All objects are exported or saved as tables (worksheets). If a report has group levels, those levels are saved as Microsoft Excel outline levels. Objects exported or saved as Microsoft Excel version 5.0 or 7.0 files preserve most formatting from the original objects.
NOTE 2: Due to cell limit in Excel, Access fields that have more than 255 characters will be truncated.
1) Open the desired database.
2) If the Database window is not active, activate the Database window.
3) In the Database window, click the appropriate tab.
4) Select the object to export or save as an Excel file.
NOTE: To select a portion of a table or query, open the table or query in Datasheet view and drag the row selector to select the portion before continuing.

5) Select the 'File' menu and select 'Save As/Export...'. (The Save As... dialog box appears.)
6) Select the 'To an external File or Database' radio button.

7) Click 'OK'. (The Save <Object> <Object Name> In dialog box appears, where <Object> is the selected object type and <Object Name> is the name of the selected object.)
8) Select the desired Microsoft Excel format from the 'Save as type' drop-down list.
NOTE: The formats from which to select include: Microsoft Excel versions 5-7, Microsoft Excel version 4, and Microsoft Excel version 3.

9) Select the drive where the new Excel file is to be stored from the 'Save in' drop-down list.
10) Select the folder to store the new file from the 'Save in' list box.
NOTE: If the file is to be stored in a subfolder, continue selecting until the desired folder is displayed in the 'Save in' drop-down list box.
11) Do one of the following:
12) (Optional) Select the 'Save Formatted' check box to preserve most of the existing formatting.
13) Click 'Export'.
